Position Title

Administrative Assistant

Location

Calgary, AB.

Reporting Relationships

  • Reports directly to the Executive Assistant/Office Manager.

 

Accountabilities and Key Functions

This position will be accountable for providing administrative support to the Office Manager. Key functions include:

 

Office Administrative Support:

  • Daily reception duties – answer main telephone line and direct calls, receive and accommodate guests, arrange couriers, pickup mail, input business cards, update contact list and name plates, etc.;
  • Manage generic email inboxes;
  • Order office supplies, business cards and ensure the offices are properly stocked at all times;
  • Set up meetings, including technology components, coffee service, catering and such as directed;
  • Assist with IT matters as directed by Office Manager or Lead, IT;
  • Updating company intranet content, as required;
  • Help coordinate in-house luncheons and dinners, as well as corporate functions and gifts;
  • Maintain the office’s professional appearance, which includes stocking and light tidying of the kitchen and kitchenettes;
  • Helping the Company build and maintain a professional image by ensuring we are always presented in the most professional light;
  • Completing special projects as required.

 

Human Resources Administrative Support:

  • Format job descriptions and job ads, as well as placing job ads;
  • Respond to job applicants;
  • Complete pre-screens;
  • Assist with interview scheduling and travel bookings for candidates;
  • Assist with preparation for new employees;
  • Assist with onboarding of new employees such as coordinating travel, , obtaining driver’s abstracts, etc.;
  • Completing special projects as required.

 

Education

  • Post-secondary degree or diploma considered an asset.

 

Experience

  • Previous relevant office experience of at least one year is required.

  • Excellent communication and strong critical thinking skills, with the ability to identify and effectively utilize resources and good judgement to solve problems;

  • Proven ability to remain calm under pressure and effectively prioritize work flow, office needs, and coordinate various activities simultaneously;

  • Displays professionalism and strong ethics, as well as being reliable and trustworthy;

Job Requirements

  • Valid Class 5 driver’s license and reliable vehicle;
  • Ability to lift up to 20 pounds;
  • Ability to work outside regular business hours when required.
